Responsibilities

Under the direct supervision of the PS&C Division's Superintendent and Senior Business Manager, the Administrative Secretary performs responsible and varied secretarial, clerical, and typing duties requiring speed and accuracy.  The incumbent is responsible for matters of confidence, requiring demonstrated integrity.

Typical duties include, but are not be limited to:

  • Compose, prepare, type, proof-read, copy, distribute various correspondence, and mail correspondence, memoranda, notices, bulletins, reports, statements, technical specifications, and other documents from notes, handwritten drafts, and edited or final copies;
  • Prepare, complete, check, maintain and file administrative records, forms, reports, employee files, pertaining to various Division subjects and correspondence files;
  • Handle financial documents, checks, vouchers, and receipts;
  • Serve as receptionist, receive and make telephone calls to give or obtain information and answer inquiries; in addition to responding to requests from internal and external sources
  • Arrange meetings and reserve conference rooms;
  • Receive, sort, and distribute incoming mail;
  • Input information and data into databases and/or spreadsheets;
  • Operate and arrange service and order supplies for standard office machines;
  • Prepare and submit business travel requests, make travel arrangements for staff, and enter travel authorization requests and expense reports into the BEAM AD TRAV travel system; unit is willing to train someone who is knowledgeable of computers
  • Instruct and assist other clerical staff in related work duties to meet deadlines;
  • Prepare and process various SAP documents;
  • Perform other duties as assigned.

Qualifications

Candidates must present the following qualifications to be considered eligible for this position:

  • A minimum of 2 to 3 years Office Administration work experience is required.

  • Demonstrated ability to read, interpret and comprehend instructions,
  • Demonstrated ability to maintain effective relationships with coworkers and visitors
  • Demonstrated ability to prepare reports and correspondence, instruct subordinates, use independent judgment and make decisions.
  • Demonstrated ability to effectively operate and use standard office equipment and have working knowledge of Microsoft office suite components; such as Outlook, Word, Excel, PowerPoint and other computer applications; plus fundamental math skills.

The Port Authority Trans Hudson Corporation (PATH), an FRA-regulated commuter railroad, is the primary transit link between Manhattan and New Jersey communities and suburban commuter railroads.  Carrying over 75 million passengers per year, PATH trains run 24 hours a day, seven days a week, one of the few 24-hour systems in the world.  Since the early 20th Century, PATH and its predecessor, the Hudson & Manhattan Railroad, have carried passengers between New Jersey and points in Midtown and Lower Manhattan, serving as a key link in the regions transportation network and as a catalyst for continued residential, commercial and employment growth.

PATH operates 24 hours per day/7 days per week/365 days per year.  Employees are required to work weekends, holidays, atypical hours (evening and midnight shifts) and during inclement weather conditions. Incumbents may be subjected to mandatory overtime at the beginning or end of their scheduled tour, or on their days off.  A union seniority system dictates work schedules for jobs represented by one of PATH’s unions, and time off may not be immediately available during the usual summer and holiday periods.  Working conditions will be challenging, including but not limited to inclement weather, direct contact with the public, in tunnel and outside areas during active train service, and an industrial environment.
