Executive Secretary

  • Maintain calendars: coordinates the scheduling of meetings within the department and agency, as well as outside entities; screen and direct calls to appropriate staff within and outside the department.
  • Assists in the preparation of the department’s budget and other duties assigned.
  • Coordinates various financial and non-financial materials for senior staff, in addition to assisting in the preparation of presentations and reports.
  • Performs timekeeping functions, maintain staff vacation schedule; process SAP entries for vendor payments; enter and update Trim records.
  • Responsible for the ordering of office equipment, as well as the ordering and maintaining of the department’s office supplies.
  • Assist with onboarding and offboarding of employees, updating telephone list, and preparing agency and system access requests.


Candidates must present the following qualifications to be considered eligible for this position:

  • Applicant is required to have at least three-year experience managing administrative or other business process
  • Knowledge of or ability to learn The Port Authority’s organizational structure, policies and procedures, as well as the PA Board process.



Ideal candidates will present the following profile:

  • Bachelors degree from an accredited college or university
  • Demonstrated experience with application and systems: Excel, Microsoft Word, PowerPoint, SAP, PowerPoint, SharePoint and WebEx.
  • Strong interpersonal, written and verbal communications skills with experience interacting with all levels of internal staff and peers from external organizations.
