Administrative Support Specialist

Description

Responsibilities:

The selected candidate will perform a variety of highly responsible secretarial and administrative duties and must be able to work independently on assignments that require judgment. 

 

Responsibilities include, but are not limited to:

  • Preparing correspondence, scheduling meetings, coordinate calendars using Outlook.
  • Answer/screen and direct calls providing the best customer service to all callers.
  • Arrange video teleconference meetings.
  • Reviewing, prioritizing, and maintaining a log of incoming/outgoing correspondence
  • Maintaining files and a follow-up system
  • Originating and compiling related statistical data, summaries, and reports. 
  • Monthly reconciliation of facility procurement cards statements
  • Following up on issues to meet deadlines.
  • Organizing travel arrangements when required and preparing appropriate business trip authorizations.
  • Assisting management in the preparation of presentation materials, reports, letters, etc
  • Ordering supplies and maintaining stockroom
  • Performing special assignments as required, which may include but not be limited to backing up other clerical staff in their functions, including timekeeping entries in PeopleSoft, purchasing/bill payment via SAP, and manifesting of revenue.

Qualifications:

Candidates must present the following qualifications to be considered eligible for this position:

  • Candidates must possess the following qualifications in order to be considered:
  • High School Diploma or GED from an accredited institution.
  • Three to five years clerical/secretarial work experience.
  • Ability to work independently and handle several tasks simultaneously with the ability to meet deadlines in a dynamic environment.
  • Thorough and comprehensive knowledge of office practices, organizational structure, policies, and procedures as they relate to administrative functions.
  • Ability to write, edit, and proofread correspondence for executive management's signature.
  • Excellent organizational, interpersonal and communications skills interacting effectively with staff at all levels and outside agencies.
  • Must possess strong working knowledge and experience with PC-based applications such as: Microsoft Word, Excel, Outlook, PeopleSoft and SAP.

 

Additional Information:

Only the most qualified candidates will be invited to participate in the Port Authority's Administrative Testing Series (ATS) that consist of: 1) A Software Proficiency: 2) Microsoft Word, 3) Excel, and Outlook.
