Responsibilities
Reporting to the Executive Business Manager, in the Engineering/Architectural Design Division; the successful candidate will be responsible for managing a wide range of human resources and administrative functions for the Engineering/Architectural Design Division. Incumbent would also be responsible for payroll business process for the Chief of Design, Deputy Chief of Design, and Executive Business Manager.
The incumbent’s responsibilities will include, but are not be limited to: providing guidance on HR policies and procedures, assisting with managing administration and HR functions including personnel transactions, employee performance, training, tuition assistance, overtime, sick leave, absence management, year-end vacation and sick programs, process various Leaves according to policy, assist with managing the business trip memorandums, act as the division liaison for the WageWorks Commuter Benefit Program, ProCard Program, Tuition Program, assist in managing the division’s Vehicle Program, manage the consultant staff database and prepare necessary consultant reports, assist in managing office space services requests in addition to technology and telecommunication requests, oversee Novell Access for all new hires - PA and contract staff, assist with converting the division to electronic documents and signatures using DocuSign, assist in the coordination of special events/recognition programs, assist in preparing and monitoring the divisional membership budget, prepare vendor invoices using SAP and other related systems and provide guidance to staff on related questions, assist in maintaining divisional business continuity information, assist in preparing and managing divisional staffing reports through the use of PeopleSoft, manage the PowerPoint and other Special Presentations for the division, assist with preparing and coordinating other special projects as requested.
