PATH - Labor Relations, Senior Administrative Assistant

Responsibilities

Under the direct supervision of the Chief Negotiator, PATH, the successful candidate will be responsible for performing a variety of confidential administrative and secretarial duties including, but not limited to:

  • Logging and managing correspondence; administering case files; scheduling and coordinating meetings/including using e-calendar and other technology; handling travel arrangements and expense reimbursements;  screening, prioritizing and/or handling to closure telephone and other inquiries and all correspondence;
  • Typing correspondence and large documents including preparation of collective bargaining agreements;
  • Preparing of visual presentations using Power Point and other applications;
  • Establishing and maintaining electronic files and databases, as well as effective follow up systems; timekeeping;
  • Providing back­ up secretarial coverage for the Director's office and carrying out special projects as assigned.

Qualifications

Candidates must present the following qualifications to be considered eligible for this position:

  • A minimum of one (1) year experience working independently perform complex Secretarial/administrative functions and exhibit a strong customer service demeanor in handling all responsibilities.
  • An Associate degree in Business Management, Human Resources Management, Social Sciences, Economics, or related field, with coursework and preparation in analytics, or a minimum of two (2) years of experience in-lieu of associate degree.
  • Demonstrated extensive knowledge and strong proficiency with Livelink, PeopleSoft, SAP, or related software applications; as well as with Microsoft Office 365 Suite of software products, including Word, Excel, PowerPoint and Outlook.

  • Thorough and comprehensive knowledge of office practices and procedures related to staff and administrative functions.
  • Demonstrated success in an administrative secretarial role handling sensitive and confidential matters.
  • Excellent organizational skills, with demonstrated ability to effectively adapt to shifting priorities, exercise independent judgment, prioritize work assignments, handle multiple tasks simultaneously and consistently meet tight deadlines under minimal supervision.
  • Demonstrated ability to take initiative, independently perform complex Secretarial/administrative functions and exhibit a strong customer service demeanor in handling all responsibilities.
  • Excellent oral communication and interpersonal skills, with demonstrated abilities to effectively interact with customers, external professionals and all levels of internal staff.
  • Excellent written communication skills with demonstrated ability to independently compose, edit and proofread correspondence for supervisory signature.
  • Demonstrated extensive knowledge and strong proficiency with Livelink, PeopleSoft, SAP, and related Agency software applications; as well as with Microsoft Office 365 Suite of software products, including Word, Excel, PowerPoint and Outlook.
  • Demonstrated knowledge of and ability to effectively leverage technology, including social networking sites, IPhone/IPad, text messaging, etc... as a tool for innovative and successful completion of assigned duties.

The Port Authority Trans Hudson Corporation (PATH), an FRA-regulated commuter railroad, is the primary transit link between Manhattan and New Jersey communities and suburban commuter railroads.  Carrying over 75 million passengers per year, PATH trains run 24 hours a day, seven days a week, one of the few 24-hour systems in the world. Since the early 20th Century, PATH and its predecessor, the Hudson & Manhattan Railroad, have carried passengers between New Jersey and points in Midtown and Lower Manhattan, serving as a key link in the region's transportation network and as a catalyst for continued residential, commercial and employment growth.

PATH operates 24 hours per day/7 days per week/365 days per year.  Employees are required to work weekends, holidays, atypical hours (evening and midnight shifts) and during inclement weather conditions. Incumbents may be subjected to mandatory overtime at the beginning or end of their scheduled tour, or on their days off.  A union seniority system dictates work schedules for jobs represented by one of PATH’s unions, and time off may not be immediately available during the usual summer and holiday periods.  Working conditions will be challenging, including but not limited to inclement weather, direct contact with the public, in tunnel and outside areas during active train service, and an industrial environment. Commitment to attendance is expected and required.
