Location: 4 World Trade Center
Reporting to the Deputy Director, Port Department, the successful candidate will be responsible for a wide range of confidential secretarial and administrative duties including, but not limited to: preparing and proofreading correspondence; scheduling meetings and coordinating calendars using Outlook; reviewing and prioritizing incoming correspondence; making travel arrangements, preparing expense documents and appropriate documentation using ADTRAV; preparing petty cash vouchers; maintaining file and follow-up systems; screening and directing telephone calls and mail; performing timekeeping functions using PeopleSoft; processing invoices and service requests in SAP; ordering office supplies and maintaining supply inventory; and performing special assignments as required.
This position also serves as the backup to the Executive Secretary, supports staff in the Business Services, Financial Services and the Port Rail Program, and serves as Transit Check Coordinator. A more detailed description will be provided at the interview.
Candidates must present the following qualifications to be considered eligible for this position:
Applicants must have at least 3 years of progressively responsible administrative/clerical experience
Selected candidate will be required to pass a Federal Security Background check and obtain a Transportation Workers Identification Credential (TWIC) to work in a maritime environment as required by Department of Homeland Security.
Ideal candidates will present the following profile:
Excellent administrative skills (including thorough follow-up procedures)
Experience with Word, Excel, Outlook, PowerPoint, PeopleSoft, SAP, TRIM and ADTRAV
Knowledge of PA administrative and timekeeping policies and procedures.
Demonstrated ability to interact effectively with internal and external staff at all levels.
Demonstrated ability to prioritize assignments and handle multiple tasks simultaneously.
Demonstrated ability to use initiative and independent judgement.
Demonstrated ability to write, proofread, and edit correspondence for executive management’s signature.
Demonstrated excellent written and oral communication skills.
Demonstrated interpersonal, analytical and problem solving skills.
Demonstrated strong customer service skills.
Knowledge of PA records maintenance and retention practices.
Thorough knowledge of organizational structure, policies and procedures.
Self-starter with demonstrated ability to initiative activities and projects with little or no supervision.
