Reporting to the Chief, Inter-Governmental Affairs Officer, the selected candidate will perform a diverse range of highly responsible and confidential secretarial and administrative duties including, but not limited to:  managing and maintaining the Chief’s executive calendar in Outlook; screening, referring and handling incoming telephone calls and inquiries; drafting, editing and reviewing correspondence for the Chief’s signature; managing and maintaining contacts and files and follow-up systems; compiling material for monthly Board meetings; managing the department’s weekly report to the Executive Director; making travel arrangements as necessary; preparing and processing authorization memoranda and expense reports for reimbursement; processing routine office bills in SAP and running reports as needed; providing general guidance and support to departmental staff on day-to-day matters; handling meeting conference room reservations; processing telephone payroll deductions; and performing general administrative tasks in collaboration with the Business Manager.


Candidates must present the following qualifications to be considered eligible for this position:

  • Superior interpersonal skills including experience interacting effectively with all levels of internal staff and external professionals.
  • Demonstrated experience dealing with sensitive and confidential material.


Ideal candidates will present the following profile:

  • Demonstrated experience dealing with sensitive and confidential material.
  • Strong ability to write routine memoranda, emails and correspondence. Proofread, verify, and review a variety of documents, materials and/or forms for accuracy, completeness, and conformance with established standards, policies and procedures; ensure documents for signature are accurate and complete.
  • Demonstrated experience in the use of: ADTRAV and SAP Travel Management Module, Outlook, MS Word, Excel and PowerPoint.
  • Understanding of agency board process and working knowledge of proper preparation of briefing binder.
  • Demonstrated experience dealing with sensitive and confidential material.
  • Experience in interacting effectively with all levels of internal staff and external professionals.
  • Demonstrated ability to plan, prioritize and anticipate the informational needs of the Chief.
  • Proficiency with Microsoft Word, Excel, Outlook, and PowerPoint; LiveLink; SAP and PeopleSoft.
  • Superior oral, written and interpersonal communication skills.
  • Strong telephone rapport and etiquette.
  • Demonstrated ability to write/draft routine reports and correspondence.
  • Present clear information to top management.
  • Ability to be flexible and multi-task effectively.
  • Demonstrated ability to take initiative, work independently and use good judgment.
