Under the direction of the Supervisor, Airport Services, the selected candidate will be responsible for a wide range of administrative duties, including, but not limited to: Requisitioning and Receiving in SAP; preparing business trip memorandums and business travel authorizations through SAP Travel Management, including related entries, working with the Port Authority's designated travel agent to arrange necessary travel accommodations (ADTRAV); preparing expense accounts, preparing purchase orders and processing invoices for payment through SAP; scheduling meetings for management staff within the division; maintaining division correspondence and other files; screening, copying and distributing incoming correspondence to appropriate staff; composing correspondence independently or from general instructions; preparing conference agendas and minutes from rough notes and verbal directions; checking records, forms and reports for completeness, accuracy of content, proper endorsement and conformance to prescribed procedures, and independently correcting minor discrepancies and errors; ordering office supplies; answering and screening telephone calls for the manager and other management staff; assisting with Lost and Found when necessary, which includes retrieving found goods, retained at Port Authority and airport tenant locations, disposing, donating or transferring property in compliance with applicable AI’s, answering verbal or written inquiries and maintaining accurate records of all transactions associated with lost and found; assist with handling inquires on matters pertaining to functions associated with the NYC TLC/OATH office and providing back-up assistance to other clerical positions assigned to the unit; performing other duties as may be assigned from time-to-time by the Airport, Operations Manager and Landside, Operations Manager. 


The ideal candidate will present the following profile:

  • Demonstrated ability to work independently and handle several tasks simultaneously with the ability to meet deadlines in a dynamic environment
  • Experience entering invoices into SAP and using SAP to track vendor, invoice and payment history
  • Knowledge of Port Authority organizational policies and procedures
  • Demonstrated ability to prepare written correspondence independently or from general instructions
  • Ability to professionally answer and screen telephone calls for division staff
  • Demonstrated ability to complete assignments with minimal supervision
  • Detail-oriented with the ability to multi-task
  • Demonstrated ability to work independently using initiative and sound judgment
  • Demonstrated ability to interact effectively with staff at all levels within and outside the agency
  • Possess excellent oral and written communication skills
  • Ability to maintain a follow-up system to ensure timely responses to work assignments, questions and requests for information
  • Proficiency with MS Office, PeopleSoft, SAP and ADTRAV
