Responsibilities

Reporting to the Director, World Trade Center Security within the Chief Security Office, the selected candidate will be responsible for a variety of highly responsible and confidential secretarial and administrative duties including, but not limited to: managing and maintaining the Director’s calendar; screening, referring, and handling internal and external inquiries; reading, prioritizing, and distributing confidential and sensitive mail; preparing, reviewing, and editing correspondence; managing and maintaining the Director’s filing and follow-up systems; making travel arrangements; preparing expense documents; managing the Correspondence Tracking Systems (CTS) process; preparing the department’s quarterly travel plan; preparing and processing authorization forms and memos; timekeeping; reviewing invoices; and independently issuing memos/notes for the Director.  In addition, this position will provide backup secretarial support to the Senior Executive Secretary of the Chief Security Officer.

In addition, this position will be responsible for working with the Department’s Records Compliance Officer and support staff to ensure that records are maintained in accordance with the Records Retention Manual.

Qualifications

Candidates must present the following qualifications to be considered eligible for this position:

  • Applicant must currently have five years, full-time experience in an Administrative / Secretarial Capacity
  • Proficiency with MS Office

Demonstrated ability to interact effectively with staff at all levels within and outside the agency

  • Demonstrated experience dealing with sensitive and confidential information
  • Self-starter with demonstrated ability to initiate activities and projects with little or no supervision, prioritize assignments, handle multiple tasks simultaneously and engage in proactive follow-up, producing completed staff work
  • Demonstrated ability to plan and prioritize
  • Ability to take leadership role over other secretaries in the department Demonstrated ability to write, proofread, and edit correspondence for executive management’s signature
  • Ability to maintain a follow-up system to ensure timely responses to work assignments, questions and requests for information
  • Demonstrated excellent oral and written communication skills
  • Demonstrated interpersonal, analytical and problem-solving skills
  • Excellent administrative skills (including thorough follow-up procedures)
  • Ability to submit and track to fulfillment supply purchase orders
  • Ability to generate and track office maintenance request
  • Proficiency with MS Office, PeopleSoft, SAP and ADTRAV
