Location: 4 World Trade Center
Reporting to the Project Manager for the PMO consultant call-in agreements program; the successful candidate will support contract and document management efforts associated with effectively managing the program. The selected candidate will work collaboratively with the line departments, internal and external partners and PMO leadership in the analysis of business support functions to improve overall coordination and efficiency.
You will be responsible for:
Contract Management Support:
Perform the data analysis and tracking required to effectively manage consultant agreements.
Support the contract manager in all day to day aspects of contract management.
Perform tracking, review and processing of PMO monthly invoices for contract manager review and director approval to ensure accuracy and timely payment of invoices.
Work with key stakeholder departments such as procurement and PA comptrollers and Management and Budget to ensure timely and accurate compliance with stakeholder processes and procedures.
Review PMO monthly accruals for contract manager approval.
Effectively manage PMO SharePoint document management site.
Enhance the existing SharePoint document management site for PMO contract management repository.
Perform document control review and analysis for PMO SharePoint document
management site to ensure auditing compliance for PMO Call-in agreements, Procurement and Information Security documentation.
Support the development of PMO Annual Department Budget and PMO Work Plan.
Prepare reports and provide ad-hoc presentations as needed by PMO Management.
Interfacing with Project Management Office leadership, the successful candidate will be responsible for executive meeting planning, preparation, scheduling, agendas, and general correspondence as required.
Candidates must present the following qualifications to be considered eligible for this position:
Bachelor’s Degree in Finance, Business Administration, Public Administration or related field from an accredited college or university .
Minimum of 3 years of progressively work experience
Proficiency in the use of standard Microsoft Office products, (Outlook, Word, Excel, PowerPoint) and the ability to become competent with Port Authority software and reporting systems.

Experience in working in diverse work groups, project teams and internal stakeholders.
Experience in supporting executive staff members on capital project related activities.
Proficient in data entry requiring a high level of organizational skills and attention to detail.
Ability to manage multiple projects simultaneously with minimal supervision.
Demonstrated customer service, problem solving and interpersonal skills.
Strong oral and written skills.
Proven ability to work effectively within groups and to complete assigned tasks independently.
